Specification, design and implementation of Management Information System for PRP Architects, of Surrey.
THE CUSTOMER
PRP is a long established architectural firm with over 100 awards to its name. Started over fifty years ago it is an interdisciplinary practice offering a full range of design and building services specializing in all types of housing design.
THE PROBLEM
Prior to Egham’s involvement, PRP designed an Access database to replicate what was a manual process for managing projects recording various items of information. However, it was nowhere near the system they wished to have: the information was difficult to keep up to date, it was not easy to report upon nor was it easy to link or compare various disparate items. The original system was not capable of coping with the number of users accessing the system and timesheets were still being created manually and then the data transferred to the new system. The consequences for PRP were that the information was only up to date after the manual entry of timesheet information and it was not possible to know what was included and what was not.
THE SOLUTION
After exploring the market and reviewing existing products, PRP found nothing to meet their requirements within a reasonable budget. Egham Tech were approached to help.
Egham have been working with PRP to develop their bespoke system since 2002. Having analyzed their requirements, they suggested the best architecture for a modern and responsive online-based system, and worked with PRP’s management to specify and then develop a successful and comprehensive solution to their requirements.
The specification covered by the system includes HR capability with a recruitment and staff database, an appraisal process, detailed Project Management, Fee Forecasting and Invoicing, Contact Database and
Marketing. All these modules have been implemented over time to tight schedules and within budget. The modules are all integrated in the system and data is exported to reporting and other systems used within the practice.
THE RESULT
- The application is used daily by all employees and partners.
- The application has become the core of PRP’s successful management of projects, fee forecasting and predicted outcomes for their company and its continued growth.
- Egham has subsequently productized all these capabilities and developed and online system available to other firms.
